Provo, Utah – Aviacode, November 20, 2002 – a Salt Lake City medical coding company, is using a DoxTek document imaging system to provide healthcare professionals with a HIPPA—the Health Insurance Portability and Accountability Act—compliant, Internet-based medical coding service.
“Because we use a nationwide network of medical Coders, it is necessary to make our records extremely accessible—document imaging and the Internet make it possible,” said Chris Marsh, director of information technology, Aviacode.
Aviacode uses document imaging to convert paper-based medical records into electronic documents. The electronic records are stored in a repository and accessed by medical coders, who assign each medical procedure on the document a code. After the records are coded, they are returned to healthcare providers and are used to solicit funds from insurance companies.
“In order to make the medical records available to coders through the Internet, all hardcopy documents must be converted into electronic documents,” said Brandon Groom, DoxTek’s chief technology officer. “In an electronic format, the records are easily released into Aviacode’s preexisting database.”
Hardcopy medical records sent to Aviacode are converted into a digital format through two scan stations—Salt Lake City, Utah and Jackson Hole, Wyoming.
Both scan stations utilize a high-speed Canon document scanner and Kofax scanning software to convert client medical records into digital data/images. The digital information is released to Aviacode’s Salt Lake City office where the main database is located.
Medical records that are faxed to Aviacode go through a fax serve, which deposits the medical record into the database in their native electronic format.
DoxTek installed an Internet server to make the electronic medical records available to Aviacode’s coders through a secure Internet login.
“The process is slick. We can receive, code and return records fast then any company in the industry because we make information easy to use,” said Marsh.
