Provo, Utah – April 14, 2003 – Paul McGarrell’s Farmers Insurance Agency in Sandy has recently installed a DoxTek document management system to allow employees to search and retrieve images of original customer insurance records electronically.

“When customers call, the last thing they want to do is wait for someone to search through a filing cabinet,” said Chelsy Barton, Farmers records and retention manager.  “Now, customer service representatives can quickly find answers to customers’ questions without moving from their desks.”

When Farmers Insurance processes any new commercial or personal insurance policy, the customer’s insurance records (individual policies and supporting documentation, such as proof of insurance certificates) are sent though a Canon document scanner to be converted into electronic images. 

As the documents are processed, scanning software prompts the operator to enter the customer’s name, policy number and date, along with the document type (i.e., home, auto or commercial insurance).  Once the information is entered, the software automatically creates a file into which the scanned images are saved.

All customer files are saved to a central repository accessible by authorized users connected to Farmers network.  To view a file, employees search the repository by a customer’s name or policy number—directly from their desktop computer.

“The system we developed for Farmers Insurance not only provides data accessibility, but dramatically decreases administrative costs, lost or stolen documents, and security issues,” said DoxTek’s chief technology officer, Brandon Groom.

Farmers Insurance is in the process of integrating all customer records into its management system. The original paper documents are stored for redundancy purposes.
