Madison, Indiana – March 22, 2004 – In order to align with State policies and to increase document accessibility, Jefferson County has implemented document imaging technology, developed by DoxTek of Bloomington, Indiana, to manage the processing, storage and retrieval of sales disclosure forms electronically.
Currently, the Department of Local Government Finance (DLGF) requires all data from sales disclosures, a key document used for assessment-sales ratio studies and equalization, to be archived in an electronic database and transferred to the State through electronic means.
“It is exciting to have the ability to access our records from a desktop computer instead of rummaging through filing cabinets,” said Jefferson County’s assessor Gail Sims. “We are saving time and resources while meeting State data requirements. It is the best of both worlds.”
The document imaging system used by Jefferson County combines a document scanner with text-recognition software. The scanner converts sales disclosure forms into digital images while the software “reads” the information contained within the images.
Both the images and the data are sent to an electronic repository, as defined by the DLGF, and can be transmitted to the State upon request. Disclosure images and data within the repository are searchable by predefined fields (such as parcel number, name, date and address) from a desktop computer.
