South Bend, Indiana – June 29, 2004 – Indiana’s fourth largest county is using DoxTek document imaging technology to align with State policies regarding the storage and transmission of property sales data and to increase internal and external accessibility to sales disclosure information.
“We are excited because this technology allows us to meet State requirements as well as decrease the amount of time our office spends retrieving property data,” said Kevin Klaybor, chief deputy assessor, St. Joseph County.
Indiana’s Department of Local Government Finance (DLGF) requires data from sales disclosure forms, a key document in assessment-sales ratio studies and equalization, to be archived in an electronic database and transferred to the State through electronic means.
Indiana assessor offices are also responsible for making property sales data available to the public, namely residents, realtors and appraisers.
Developed by DoxTek, Inc., St. Joseph’s imaging system combines a document scanner with text-recognition software. The scanner converts the sales disclosure forms into digital images while the software “reads” the information contained within the images.
Both the images and the data are sent to an electronic repository, as defined by the DLGF, and can be transmitted to the State upon request. Disclosure images and data within the repository are searchable by predefined fields (such as parcel number, name, date and address) from a desktop computer.
“In addition to meeting the DLGF’s guidelines, St. Joseph County is saving time, which translates into saving money,” said DoxTek’s vice president David Taylor.
